Privacy and your data

This describes what actually happens to your recordings today. It describes current behaviour, not intentions.

Where your files are stored

Uploaded audio and video are stored in private cloud storage (Cloudflare R2). Each file is stored under a path scoped to your account. No file is ever given a public address, and no file is browsable or listable by anyone else.

Who else processes your recording

To produce a transcript, your audio is sent to AssemblyAI, a third-party transcription provider. They receive the full audio and return the text with speaker labels and timestamps. This is required for the product to work. If you do not want a recording sent to a third party, do not upload it.

Who can see your transcripts

Only your account. Access is enforced in the database itself, not only in the interface: another signed-in user cannot list, open, edit, export or delete your files even if they know their internal identifiers.

How long things are kept

Until you delete them. There is currently NO automatic expiry and no scheduled deletion. Audio and transcripts remain stored indefinitely unless you delete them yourself. A retention policy has not yet been set; when one is, you will be told before it applies.

What happens when you delete

Deleting a transcript removes the stored audio file, the transcript, every segment, and the processing-attempt records. This is immediate and cannot be undone. Exports you have already downloaded remain on your own device — we cannot remove those.

What survives deletion

One record remains: a usage entry noting that a transcription of a given length was processed, and when. It is kept for accounting and to prevent abuse. Its link to the deleted transcript is removed.

What that surviving record does not contain

No transcript text. No speaker names. No filename. No audio. The database column for transcript content does not exist in that table — only an owner, an event type, a number of seconds, and a timestamp.

People who are not users

Your recordings often contain other people who have no account here and have not agreed to anything. You are responsible for having their permission to record and process them. Consider telling your guests that recordings are transcribed and stored.

Deleting your account, or asking a question

Account-level deletion is handled manually. Ask in the Imaginarium community group on Telegram (https://t.me/imaginariumco) for your account and all its data to be removed. The same channel handles any other question about your data.
